1. Who we are

CSQS Ltd (trading as “Limewise”, “we”, “us”) is the data controller for the personal data described in this policy. We are a company registered in England & Wales (no. 12837363), registered office Unit A, 82 James Carter Road, Mildenhall, Bury St. Edmunds, IP28 7DE.

2. The personal data we collect

• Enquiries. When you contact us by email or form: your name, email address, and the content of your message.
• Portal accounts. When a contractor or invited member signs up to the Limewise project portal: name, email address, a hashed password, and the information you add to a project — diary entries, comments, photographs and documents.
• Suppliers & contractors. Business contact details and records needed to engage and pay you.
• Technical & security data. Limited data such as IP address and request logs, processed by our network provider to keep the site and portal secure.

3. Why we use it, and our lawful basis

• To respond to enquiries and take steps towards a contract — legitimate interests and/or steps prior to entering a contract.
• To operate the portal and manage projects — performance of a contract and our legitimate interest in running projects efficiently.
• To engage and pay suppliers and contractors — contract and legitimate interests.
• To keep our systems secure and meet legal obligations — legitimate interests and legal obligation.
• Marketing — only where you have given consent; you may withdraw it at any time.

4. Who we share it with

We do not sell personal data. We share it only with service providers acting on our instructions and others where necessary: our website and portal hosting on a UK server, our network/security provider (Cloudflare), our email provider, our professional advisers and accountant, and project partners or contractors where required to deliver a scheme. We may disclose data where required by law or to protect our legal rights.

5. Storage, security and retention

Data is held on secure, access-controlled systems in the UK. Portal passwords are stored only as salted hashes. We keep enquiry data for up to 2 years, and contractual and financial records for 6 years after the end of the relationship, unless a longer period is required by law.

6. International transfers

Our data is hosted in the UK. Where any provider processes data outside the UK, we rely on an adequacy decision or appropriate safeguards (such as the UK International Data Transfer Agreement).

7. Your rights

Under the UK GDPR you have the right to access, rectify, erase, restrict or object to processing, to data portability, and to withdraw consent. To exercise any right, email [email protected]. You also have the right to complain to the ICO at ico.org.uk or 0303 123 1113.
